DOCTORAL ENROLLMENT : 1st YEAR

From 1 September to 13 November 2023

For PhD students enrolling in a CIFRE thesis or with a cotutelle agreement, you can enroll after November 13.

How to enroll ?

Enrollment in doctoral studies takes place in several steps (complete procedure below) :

  1. Payment of the « Student Life and Campus Contribution » (« Contribution Vie Etudiante et de Campus – CVEC ») : paid to the CROUS, this contribution of 100 euros is aimed at « favouring student reception and support in social life, health, culture and sports for the students and at reinforcing the prevention and health education ». To pay the contribution, you must go to https://www.messervices.etudiant.gouv.fr/, “Student Life and Campus Contribution” entry. BE CAREFUL : PhD students having a cotutelle agreement and who paid their registration in the partner university must not pay CVEC or registration fees.
  1. Course registration to UBFC, on the ADUM website (www.adum.fr). You have to create your profile on the ADUM website, fill all required fields and submit all the required documents in only one PDF file :
  • Proof of CVEC payment (except for PhD students having a cotutelle agreement and who have paid their enrollment in the partner university)
  • If you have a cotutelle agreement and if you paid the enrollment fees in the partner university : copy of the school certificate
  • CV
  • Proof of financing (copy of your employment contract if you have it/scholarship certificate, etc.) – Except for PhD students having a doctoral contract (You application was validated in June, so you don’t have your contract yet)
  • ONLY if you are in a CIFRE PhD thesis : ANRT acceptance letter
  • Copy of the diploma allowing you to enroll in a Phd thesis + transcripts
  • Description of the thesis project
  • Copy of the identity document
  • Individual training plan (Excel sheet  below). You must fill it with your thesis supervisor
  • Deposit of your ID picture on your ADUM profile is recommended in order to print your student card
  • ONLY if you register in UTBM : Certificate of Civil Liability

3. IMPORTANT : Be careful when you fill the fields regarding your diploma allowing you to enroll in a PhD thesis : if you obtained your diploma in a country out of the Bologna process (list of the countries part of the process in the procedure below), you must check “Foreign diploma” in the drop-down menu and clearly indicate the country of graduation.

4. Payment of the registration fees to the institution where the thesis will be prepared (Amount : 380€). When your registration request is validated on ADUM by the head of the doctoral school, you will receive an e-mail from ADUM, inviting you to pay the registration fees. Several possibilities will be proposed to you, regarding your situation :

– For PhD students enrolled in UFC (Besançon) :

  • ONLY If you have been registered in the University of Franche-Comté in the past and if you have a UFC student number : you can pay the registrations fees online by card (in one time from September 1 to October 10 or in 3 times from September 1 to November 13). You must wait to receive the e-mail from the doctoral school with the link allowing you to pay online.
  • By bank transfer : when you check this mean of payment on ADUM, you will be able to find the bank details of the University of Franche-Comté on your ADUM profile. When the transfer is confirmed by your bank, don’t forget to submit the proof of payment, indicating that the transfer has been executed. The following proofs of payment will be automatically refused by UBFC : screenshots, document without any name, document indicating “transfer waiting” or “transfer in progress”.
  • By check, to the order of “Agent Comptable UFC”. You must send the check to : Alika ROSSETTI – UBFC – ED SPIM – 32, avenue de l’Observatoire – 25000 BESANCON. Please don’t forget to write your name on the back of the check.
  • If you are a scholarship PhD student (CAMPUS FRANCE, CSC for example), or if you have a cotutelle agreement and if you have already paid the registration fees in the partner university, you must check “Fee exemption” on ADUM.

– For PhD students enrolled in UTBM (Belfort) :

5. Receiving your multiservice card : the UBFC Pass

ANY INCOMPLETE FILE WILL BE REFUSED

From 1 September to 13 November 2023

BE CAREFUL : Re-registrations must be effective no later than November 13. After this date, UBFC reserves the right to declare your PhD thesis ended.

WHY TAKING ALL THE NECESSARY STEPS TO REGISTER FROM SEPTEMBER 1 ?

  • You will have your 2023/2024 school certificate, helpful for your administrative and personal procedures.
  • This is easy and rapid to do. No paper, everything is done online on the ADUM website (www.adum.fr).
  • Register as soon as possible allows you to pay the registration fees in 3 times (you can do it only to October 10).
  • Between October and December, there are many defences. When you finalize your registration early in September, it allows the doctoral school office to be more available for PhD students preparing their defence and provide them a high quality follow-up.
  • The re-registration in the respect of the schedule indicated is mandatory.

REMINDER : PhD students who defend their thesis before December, 31, 2023 must not re-register and must not pay CVEC.

  • ONLY IF IT IS DIFFERENT FROM LAST YEAR : Proof of financing  (copy of your employment contract/scholarship certificate, etc.)
  • Proof of CVEC payment (except for PhD students who have a cotutelle agreement and who have paid their enrollment in the partner university)
  • REQUIRED for all PhD students enrolling after the 3rd year, whatever the reason : If you register after the 3rd year : Extension request form filled and signed by you, your thesis supervisor and the your director of laboratory
  • Thesis state of progress report
  • Follow-up committee report (Don’t forget to fill the fields regarding your follow-up committee on your ADUM profile)
  • ONLY if you register in UTBM : Certificate of Civil Liability
  • Individual training plan updated (Excel sheet)

– For PhD students enrolled in UTBM (Belfort) :
