FOLLOW-UP COMMITTEE

  • According to the new decree of August 26, 2022, the follow-up committee composition must be established during the first year of the PhD thesis.
  • The doctoral school ensures, as far as possible, that the composition of the committee remains constant throughout the thesis period, except specific cases.

 

The follow-up committee includes 2 members at least:

-A specialist member (HDR or with an experience in PhD supervision) in connection with the PhD thesis field. This member must have enough expertise in the research field to situate the work in the international research context, to analyse the research methodology and the originality of the work. He is not a researcher from UBFC. He is the “external” member.

– A non specialist member (HDR or with an experience in PhD thesis supervision), far from the PhD thesis research field. He/she is mandated by the Doctoral School, especially to evaluate PhD student’s individual training plan and to detect any dysfunctions. He is the « internal » member.

The follow-up committee provides support during the whole period of the PhD thesis.

The specialist member of the committee must remain independant and external to the thesis supervision and work throughout the PhD thesis.

The non-specialist member may be contacted at any time by the PhD student if necessary (outside the annual meeting).

The committee must meet before the enrollment in the 2nd year and then before each new enrollment until the end of the PhD thesis.

The Doctoral School wishes that these annual meetings take place before summer every academic year.

The Doctoral School sends to the supervisor and to the internal committee member a table indicating the follow-up committee members for each PhD student.

The PhD student fills in the « PhD student form» based on the Doctoral School template, writes a report with the scientific context and work progress. The progress report must be approximatively 2 pages long.

He/she sends the form, the report and the portfolio with the updates individual training plan to the committee members at least one week before the meeting.

The PhD student’s supervisors fill in the « Supervisor form» and send it to the committee members (Doctoral School template), one week at least before each meeting with the follow-up committee.

The internal member will ensure that the forms and reports arrive on time.

 

PhD student and his/her thesis supervisors are responsible for organizing the annual meeting (date, location, …).

The meetings are organized in three separate stages :

1)Presentation of the scientific objective, context (financial and experimental support, scientific environment …), work progress, valorization and prospectives  for the end of the thesis, presentation of training plan (thematic school…), professionnal project… (20 minutes), followed by 15 minutes discussions.

2)Interview with the PhD student, without the supervisors (10 minutes approximatively)

3)Interview with the supervisors, without the PhD student (10 minutes approximatively)

Everyone is required to be discreet on what has been discussed during each interview.

It is recommended by the Doctoral School that, at least for the first meeting, the internal member should be present on site. The mission will be reimbursed by the Doctoral School.

If the external member attends the meetings, his/her mission won’t be refunded by the Doctoral School.

 

The follow-up committee writes a report based on the doctoral school template. This report which may be written in French or in English is validated (signatures) by the members of the committee.

The report evaluates the PhD student’s training conditions and his/her progress work. The report may highlight the strengths and the points to improve.

The report gives recommendations and advices.The follow-up committee gives an opinion on the re-enrollment of the PhD student or if appropriate, on the PhD thesis extension.

 

The internal member returns the report to one of the doctoral school administrative manager :

The head of the Doctoral School, if necessary, asks for modifications or additionnal information. Once the report has been validated by the doctoral school, it is forwarded to the supervisor and the PhD student. The PhD student uploads this report on ADUM
